Frequently Asked Questions

How far in advance should I order a cake?

We are often booked up weeks in advance and accept a limited amount of cake orders each week, so the sooner the better to reserve a place on our calendar. Many clients secure our services six months to a year before their event. However, you are always welcome to check our availability for dates with less advance notice, and we will do our best to accommodate. To give us enough lead time and less design restrictions, we ask for a minimum of 1 week’s advance notice for any cake order. We are currently accepting orders through 2019. To inquire about about our availability, please use cakelava custom cake contact form or give us a call.

RUSH ORDERS: A rush order is any cake order placed 1 month or less before the event date. Our availability for rush orders is extremely limited, and only cake orders secured with a full payment by credit card at the time of booking will be honored. Cake orders placed without an accompanying payment within 24 hours will be cancelled. Keep in mind design and decoration restrictions may apply for any rush order.

Can I come to your shop to place my order? What are your hours of operation?

We appreciate your enthusiasm to come to our studio, however, we are a small operation and cannot accommodate walk-in traffic. We are open by appointment, and closed on Sundays and Mondays. We can be reached by email or phone during normal business hours which are listed below. Please allow up to 48 hours for us to respond to your inquiry.

TUE: 9:00AM – 4:00PM
WED: 9:00AM – 4:00PM
THU: 9:00AM – 4:00PM
FRI: 9:00AM – 4:00PM
SAT: 10:00AM – 4:00PM

How do I place a cake order?

To place a cake order, please submit an inquiry using cakelava custom cake contact form, or you are welcome to call us. As our cake studio is open by appointment, we encourage orders to be placed by email or phone. Please fill in all requested fields on the contact form. Since we custom design for a wide range of budgets, we’ll need to know the cake budget before discussing options. See the “Pricing” section below. It is the client’s responsibility to check with their venue about their outside vendor cake policy and be sure the cake you are ordering can be brought into the venue. Once we receive your email inquiry, we will contact you to discuss your cake request. For our out of town clients celebrating in Las Vegas, not to worry, we can complete the entire design and payment process with you remotely.

RUSH ORDERS: A rush order is any cake order placed 1 month or less before the event date. Our availability for rush orders is extremely limited, and only cake orders secured by a full payment by credit card at the time of booking will be honored. Cake orders placed without an accompanying payment within 24 hours will be cancelled. Keep in mind design and decoration restrictions may apply for any rush order.

Do you require a deposit to reserve my date?

If you are ordering a cake for an event more than 1 month in advance, we require a non-refundable 50% retainer based on your estimated cake cost to secure the date.
The retainer will need to be paid within 24 hours once the order is placed or the order will be cancelled. All retainers are date specific (non-transferable) and non-refundable, so we ask that you please be certain you want to work with us prior to placing the order. We accept payment by check, cash, money order, or credit card. Checks or money orders are made payable to: cakelava LLC (cakelava is one word). Credit card payments are made at the time of the order. Cash payments can be made at our studio. The full balance for your cake is due and collectable 3 weeks prior to your event date. See below for final payment information

If you are ordering a cake for an event 1 month or less in advance, this is a Rush Order and requires payment in full by credit card at the time of booking. Our availability for rush orders is extremely limited, and often requires us to shift around our schedule so cake orders placed without an accompanying payment within 24 hours will be cancelled. Keep in mind design and decoration restrictions may apply for any rush order.

When is final payment due?

The full balance for your cake is due and collectable 3 weeks prior to your event date and may be paid by check, cash, money order or credit card. Personal checks will not be accepted less than 3 weeks prior to the event date. Returned checks will be charged $25. Payments received less than 3 weeks prior to the event date must be paid in cash at our studio, or a credit card may be used for an added fee of 3%. Final balances not received by 2 weeks prior to the event date are considered a cancellation of services, and result in a forfeiture of the cake, and full payment for the balance is due and collectable.

Do you ship your cakes?

We don’t ship our cakes since we can’t guarantee the safety of any cakes we don’t personally deliver to a location. When possible, we are happy to make a recommendation of a designer closer to you who may be able to help with your event.

What is your cancellation policy?

Any request to cancel a cake order must be submitted in writing by the client and received by cakelava LLC no less than 2 weeks prior to an event date. Any retainer(s) paid on the order are non-refundable and date specific (non-transferable). For cancellations less than 2 weeks prior to the event date, the full remaining balance is due and collectable. We recommend purchasing event insurance for unexpected circumstances that could arise.

Pricing and Deliveries

How much do your custom cakes cost?

Our prices start at $150 per cake. This is also our minimum order requirement and excludes any delivery fee. NOTE: During the fall busy season of October to December, our minimum order for any custom cake is $250. Cakes are priced by the project based on the complexity of the design and number of servings. Our 2D and 3D sculpted cakes have a $250 minimum. The decorations and handcrafted flowers we use on our cakes are all handmade in-house by cakelava.

To get an estimate for a cake, you can email cakelava or call us. Please include the following with your inquiry:

Your requested design: theme, color, and any decorations you want. Photos can be emailed after we reply to your inquiry.

How many servings: If you have a preference on the number of tiers, please let us know.

Cake Budget: Since we design for a wide range of budgets it is essential to know what you are looking to spend on the cake so we can customize the cake to suit your needs.

Our 3-D Sculpted cakes have a $250 minimum order (excludes delivery) and are priced by the project, not by the serving. They are labor intensive and often require us to build additional structure. More complex sculpting work will be priced higher. With sculpted cakes, please keep in mind that the amount of servings needed is often determined by the type of object. For example, we won’t make a car cake for less than 25 servings because we need more servings to best carry out the shape.

We have a $250 minimum order for a 2-D Sculpted cake and they are priced by the project, not by the serving. A 2-D sculpted cake lies flat on the cake board, and is generally less expensive than a 3-D cake.

Do you offer delivery?

We offer a delivery option for all custom cake orders. Simply request delivery at the time your order is placed. Our deliveries are scheduled based on availability, and the delivery cost will be added to your cake order. We have more limited availability to deliver a cake for a daytime event on a weekday than either evening weekday or weekend events. Please contact us for delivery pricing.

Cakes may be picked up at our studio as late as 5:00 pm. cakelava LLC does not guarantee the safety of any cake we don’t personally deliver.

Delivery is available throughout Las Vegas and Henderson. We are willing to deliver to any area where our cakes can be safely delivered. Inquire with us for details.

May I book your services to reserve the date and work out the design later?

Yes, many clients do exactly that to secure their date. In order to reserve a spot on our calendar, we’ll need to get some basic information from you and an approximate budget and number of servings. A 50% non-refundable and date specific (non-transferable) retainer will be required to secure your date and approximate start time. We will be booking other events around yours, so it is important to give us as realistic a budget as possible to allocate appropriate time to work on your cake.

How many flavors can I have in my tiered cake?

We include 2 flavor choices from our menu for multi-tiered cakes sized 40 servings and above. If your multi-tiered cake is less than 40 servings, there will be a $25 charge for a second flavor. Single tier cakes and Sculpted cakes are 1 flavor. You are welcome to order as many flavors as you like for your tiered cake, but there will be a charge of $25 for each additional flavor.

Some of our flavors are called PREMIUM or HIGH ROLLER and have more expensive ingredients or more labor involved. PREMIUM flavors cost $.50 and HIGH ROLLER flavors cost $1.00 per serving extra and they are indicated on the FLAVORS page menu.

Are the flavor options the same for sculpted cakes?

No, we use only buttercream fillings for sculpted cakes, because carved cakes require more stability than non-sculpted cakes. We will provide a list of cake and buttercream filling choices. You may inquire with us at the time of your order for the flavor choices.

Is buttercream icing an option for my cake?

Yes, buttercream can be an option for your cake. Keep in mind that not all cake designs and decorations work well with buttercream, and it is best to share your design requests with us prior to choosing this option. Due to the extreme heat temperatures in Las Vegas, we don’t offer buttercream icing for any outdoor events. Our buttercream is made from real butter that can melt in the heat.

Do you make sugar free cakes, Vegan cakes, or Gluten-free?

We firmly believe in using the highest quality of ingredients in our cakes, so we use real butter, eggs, sugar, and other products that unfortunately, do not accommodate those with dietary restrictions.

Do you make individual cakes, cupcakes, decorated cookies, cake pops or macarons?

Yes, we do offer individual cakes, but not cupcakes, decorated cookies, cake pops, or macarons. We work exclusively in custom cakes

Consultations and Tastings

How do I schedule a consultation?

Prior to securing our services, any custom cake consultation will be handled by email or phone. Please use cakelava custom cake contact form or call us to share details of your event, what you have in mind for your cake, and what you wish to budget. After discussing your requests with our designer, we can then get back to you with a price estimate.

Our celebration cakes receive the same care and attention as we give our wedding cakes, but we don’t offer a personal consultation with Rick, our designer for any celebration or birthday cake order. An exception would be for a corporate cake or in cases where the cake is large or complex and requires our designer to personally meet with the client. For a celebration or birthday cake order, our staff will discuss requests and collect any inspirations from the client which then gets passed onto Rick, and their cake will be designed shortly before the event.

We reserve our design consultations with Rick for clients who have already booked their wedding cake with a 50% non-refundable retainer. One of the services cakelava wedding cake clients pay for is the labor involved with designing their cake. To honor this, we don’t share our design ideas or do a cake sketch prior to booking your cake.

For our out of town brides coming to Las Vegas, rest assured, in person consultations are not required to make you an amazing cake! We can complete the entire design process and consult with you over email or by phone.

cakelava’s cake studio is open by appointment. If you are a bride interested in scheduling our cake tasting service, please refer to the “Wedding Cake Tasting” question below.

How do I schedule a wedding cake tasting?

If you would like to schedule a wedding cake tasting, please email cakelava or call us a minimum of 1 week in advance of your desired tasting date. Our cake tasting service is available Thursday through Saturday during our regular business hours of 9am and 4pm and is based on availability. When you schedule your tasting appointment, we will first check availability for your wedding date and reception time, and that our pricing works with your budget. We will also ask you about your wedding cake requests and how many guests you want to serve.

Our wedding cake tasting can serve up to 4 guests and consists of 3 freshly baked mini cakes in your choice of any 3 flavors from our menu (see: FLAVORS page). To book the cake tasting, there will be a charge of $30 plus tax, which is paid by credit card at the time of scheduling. We will apply a $20 credit from the tasting fee towards your final balance if a wedding cake priced at $375 or higher is booked.

We offer a complimentary wedding cake tasting to clients who book a wedding cake priced at $375 or higher in advance of their tasting. Booking the cake requires a contract and a 50% non-refundable retainer based on the estimated cake cost.

Please note, we have a 15 minute policy for all appointments and ask that you arrive to our studio on time. Clients arriving more than 15 minutes late will need to reschedule for another date. If a new cake tasting needs to be made, there will be a charge of $30 plus tax which will not be applied to the final balance.

Will you design my wedding cake at the tasting?

A design consultation with Rick will be added if the wedding cake is booked during the tasting, or if the client has already booked their wedding cake with us. Otherwise, Rick isn’t present at the cake tasting because he is usually busy working on cakes and his meeting time is very limited. Clients who have not booked their cake with us are welcome to discuss their wedding cake requests with Sasha at the time of the tasting, and any information given will be passed onto Rick.

If you are booking our services at the cake tasting appointment, we require a 50% non-refundable, non-transferable retainer to secure your date/time and will have you sign a contract. Payments are accepted by check, cash, money order, or credit card.

Please bring any and all design inspirations that you can provide for Rick. This includes color swatches, and photos of cake styles you like. Come prepared with your cake budget – we need this prior to designing – and the desired number of servings or tiers you want in your cake. For wedding couples, a sketch will be forthcoming, unless a cake already on our website is ordered.

What is your cancellation policy for a cake tasting?

If you need to cancel your appointment, we require written notice by the person who booked it. You may cancel a cake tasting appointment as late as 1 week prior to your appointment date. Wedding cake tastings will be refunded $20 of their $30 plus tax fee. Cancellations less than 1 week prior to the appointment date will not be refunded.

Cake Designs and Decorations

I saw a cake in a magazine made by another baker. If I provide you the photo, can you duplicate the cake?

We take great pride in offering our clients original one-of-a-kind designs by Rick. Out of respect for other cake designers in our industry, we prefer not to duplicate other people’s work or provide a quote for it. That said, it is helpful for us to see photos of cakes you like to get a better sense of your style. It may be used as inspiration.

I love one of the large 5-tier cakes in your portfolio but have less than 50 guests attending my event. Is it possible to make the 5-tier cake a 2-tier?

Usually it is not possible. One of the reasons we discourage clients from ordering a cake already on our website is each cake is so specific to the client’s needs and the design often won’t work if we have to scale it down. This can lead to frustration if someone falls in love with that cake but they don’t have the guest count or budget to support the design. We would rather start fresh on the design with each client and if necessary, use one of our designs they like as inspiration and make them their own special cake!

What is a groom’s cake and how do I order one?

A groom’s cake is a Southern tradition honoring the groom and has become popular at weddings. Groom’s cakes are often themed around a playful side of the groom’s personality or their interests and are often done sculpted. They can be the perfect compliment to the more elegant, tiered wedding cake. Although groom’s cakes are often thought of as a secondary purchase to the main wedding cake, it is important to bear in mind that groom’s cakes, depending on the theme, can become very involved and could end up costing more than the wedding cake. We suggest when possible to order your groom’s cake at the same time as the wedding cake so we may assure availability for both cakes.

Do you do fresh flowers for the wedding cakes?

If you would like fresh flowers, this would be arranged directly with your florist and they would place the flowers on the cake once it has been safely delivered to your location. The flowers on our cakes are handcrafted in-house and we take great pride in them. They are sized specific to the needs of the design and its decorative elements. Handcrafted flowers allow us to have better control over the total design and quality of the cake.

Can I substitute real cake tiers for Styrofoam tiers?

We want your cake to taste as good on the inside as it looks on the outside, but we also understand the desire to have a cake larger than your guest count supports. Yes, faux tiers are available to order and pricing is done on a case-by-case basis.

May I come to your cake studio to watch Rick work?

As we are a well known company, this is a question we receive a lot. We don’t allow non-employees into our kitchen for a number of reasons. The Health department has regulations preventing us from allowing any non-employees without a valid health card into our kitchen. There are also liability issues and insurance restrictions that prevent us from having anyone other than cakelava LLC employees in our kitchen. Our kitchen is a very busy place and we find it too distracting to be watched when we’re working and on deadline.

Do you teach cake decorating classes?

Rick taught classes internationally for several years but is taking time off from the busy teaching circuit to focus on making cakes for clients. He wouldn’t trade his experience teaching for anything, and has been relishing the opportunity to make cakes for cakelava and not having to travel so often. For beginners looking to pick up some useful decorating techniques, there are some great examples in our book, Extreme Cakeovers.
